Volunteer Accounting Admin/Bookkeeper

A Volunteer Accounting Admin/Bookkeeper plays a crucial role in managing the financial records and transactions of an organization, even though they are contributing their services on a voluntary basis. The responsibilities may include:

1. Recording Transactions:

o Enter financial transactions into accounting software or spreadsheets.

o Maintain accurate and up-to-date records of income and expenses.

o Classify and categorize transactions appropriately.

2. Bank Reconciliation:

o Reconcile bank statements with the organization’s financial records.

o Identify and rectify any discrepancies in a timely manner.

3. Financial Reporting:

o Generate reports, such as income statements and balance sheets.

o Provide regular financial updates to management or relevant stakeholders.

4. Accounts Payable:

o Process invoices and make sure all bills are paid on time.

o Maintain a system for tracking and managing accounts payable.

5. Accounts Receivable:

o Issue invoices and follow up on outstanding payments.

o Keep track of donations or funds received and ensure they are properly recorded.

6. Budgeting:

o Assist in the development of budgets in collaboration with relevant stakeholders.

o Monitor actual expenses against the budget and provide reports on budget variances.

7. Financial Analysis:

o Conduct basic financial analysis to support decision-making.

o Identify trends and provide insights into the financial health of the Foundation.

8. Compliance:

o Ensure compliance with relevant accounting standards and regulations.

o Assist in the preparation for any external audits.

9.           Payroll Processing:

o If applicable, assist in processing payroll, including calculating wages and ensuring timely disbursement.

10. Documentation and Filing:

o Maintain organized and well-documented financial records.

o File and store financial documents in a secure and accessible manner.

11. Communication:

o Collaborate with other team members and departments to gather necessary financial information.

o Communicate financial information effectively to non-financial stakeholders.

12. Continuous Learning:

o Stay informed about changes in accounting standards and best practices.

o Participate in relevant training to enhance accounting and bookkeeping skills.

13. Software Proficiency:

o Be proficient in using accounting software (e.g., QuickBooks, Xero) and other relevant tools.

14. Confidentiality:

o Maintain confidentiality of financial information and sensitive data.

The volunteer bookkeeper and accounting admin may have varying degrees of responsibility depending on the size and complexity of the Foundation’s requirements . Regardless, attention to detail, integrity, and a commitment to accurate financial reporting are essential qualities for someone in this role.   By taking on these responsibilities, the Volunteer Accounting Admin / Bookkeeper plays a crucial role in addressing and the Foundation’s mission in a holistic manner.

1. Regular Weekly Schedule:

o Mondays: 10:00 AM – 2:00 PM

o Wednesdays: 2:00 PM – 5:00 PM

o Fridays: 4:00 PM – 7:00 PM

2. Weekend Shifts:

o Saturday: 9:00 AM – 12:00 PM and 1:00 PM – 4:00 PM

o Sunday: 3:00 PM – 6:00 PM

3. Event-Based Schedule:

o As a Volunteer you may sign up for specific events or projects 

This may vary depending on the requirements of the different projects of the Foundation.
